I was recently browsing the Sage ACT! Community boards and came across a great question, and some equally great answers! The question was this: “Is clearing activities required?”. The short answer is “Yes!”. If you want an accurate history of how you spent your time, and your database finely tuned, you should be clearing activities. In this tip, I’ll show you how to clear multiple activities, and provide additional rationale for why you should clear your activities.
Clearing Multiple Activities:
If you have gotten busy, and neglected to clear past activities, you can get caught up by clearing multiple activities from the various activity list views (including the Task List, or various Detail View > Activities tabs):
1. Open the Task List (or Activities tab of the Contact/Opportunity/Group/Company Detail view).
2. Holding CTRL or SHIFT on the keyboard, click two or more activities in the list to select them.
3. Right click one of the activities, and then choose Clear Multiple Activities. . .
4. Select the preferred result. If you do not want the details added to history, clear the Add Activity Details to History. Any information that may have been entered on the details tab of the activity will be excluded, but history will be recorded for the activity.
Benefits of Clearing History:
Accurate recoding of time spent that directly feeds reports such as the History Time Spent, and History Summary reports (refer to the Reports menu in Sage ACT!).
Prevents corruption of the Activities table due to large volume of un-cleared activities.
Improves performance of your database by minimizing volume of activities stored in the Activities table.
