Fast Tip Friday: Activity Series vs. Smart Tasks #SageACT

As you learned in previous weeks, Sage ACT! provides a couple mechanisms for automating the creation of tasks associated with routine operations:

 

  • Activity Series
  • Smart Tasks (Sage ACT! 2011 and up)

 

While both are useful for task and/or light process automation, they do have unique characteristics. Moving forward with 2011 and beyond, you should begin creating Smart Tasks (where you might have previously considered an Activity Series) because Smart Tasks provide the greatest flexibility and will continue to be enhanced in future versions.

 

Comparing Activity Series and Smart Tasks:

Some of the fundamental differences between the two include:

  • Smart Tasks allow you to schedule more than just activities. You may schedule e-mails, Sage E-marketing for ACT!* e-mails, and run drip marketing campaigns* as steps in the workflow.
  • Smart Tasks can be run automatically on a predetermined schedule or manually executed.
  • Smart Tasks can be created to run against only those Contacts or Opportunities that meet specific criteria, such as “Opportunities that have been Closed – Won in the last 14 days”.
  • Smart Task steps can run based upon completion of the previous step.
  • Activity series are always manually scheduled, unless triggered by a field.
  • Activity series can be triggered upon entry/exit/changing field data.
  • Activity series steps are based on an anchor date and not upon completion of the previous step.
