Fast Tip Friday: A Calendar That Works For You #SageACT

Managing activities and other tasks in Sage ACT! is central to business and personal relationships. Out of the box, the calendar works great and is easy to use. However, you can get more out of your Calendar by customizing preferences so that it works the way you want it to and in some cases, for you. You can customize your Calendar by:

 

  • Applying default alarms and other settings
  • Displaying drop down boxes in certain fields, saving you an extra mouse click
  • Prompting to schedule an activity when a new Contact is created

 

In the coming weeks, we’ll explore different ways to use Sage ACT! to automate tasks and activities, so you can accomplish more with less effort!

 

Setting Calendar Preferences:

 

1. In Sage ACT!, click Tools > Preferences

 

2. Click the Calendar & Scheduling tab. Click Scheduling Preferences.

 

 

3. To set default activity type preferences, saving you the hassle of having to do this for each activity when you schedule it…under Activity type settings, select an activity type.

 

 

For each activity type, select options or enter information, such as:

 

  • Setting a default Priority to determine how activities appear on calendars and in list views.

  • Setting the Ring alarm notification to specify how long before an activity the alarm will sound.

  • Setting the default Duration to indicate the amount of time that is automatically scheduled for the activity type.

  • To automatically set this activity to timeless, select Default to timeless. Timeless activities do not have a start and end time associated with them, such as a vacation activity type.

  • To receive a rollover prompt for uncleared activities, select Automatically roll over to today. With this option selected, any uncleared activities will automatically roll over to the next day, and you will be reminded to complete those unfinished tasks.

You may also want to Automatically display drop-downs for several fields in the “Schedule Activity” dialog box, saving you an extra mouse click when you enter the field:

 

  • Select the check box for each field you want to display drop-down lists, values, or options. For example, select Start date to display a drop-down calendar when entering a start date for an activity.

To be prompted to schedule an activity with a newly created contact, select Prompt to schedule an activity when a new contact is created.

 

  • This will automatically prompt you to schedule an activity after you save your new contact:

 

  • Click Yes to open the Schedule Activity dialog box and quickly schedule a new activity with the contact such as sending a welcome message or phone call.

By modifying a few minor Scheduling preferences, you can save a lot of time by more efficiently scheduling activities in Sage ACT!, or being prompted to schedule activities with new contacts so you don’t miss an opportunity to make the most of a new connection!
