One of the most popular New Year’s Resolutions is “Get Organized” – is that one of your goals this year? If it’s time to throw away the sticky notes and untie those reminder strings on your fingers, Act! can help. At its core, Act! is designed to help optimize your efficiency and give you back more time in your day, so you can get back to doing whatever it is that you love.

Calendar1-sm.png 1. Calendar – PLAN. We are all familiar with how to use a calendar, but it’s typically the discipline around using it that creates inefficiency. Create a habit of daily use so planning and organization becomes part of your routine. Enter activities ahead of time, categorize and set alarms, and build margin into your calendar to help you feel less stressed, and more prepared.

  • Set all your appointments and meetings in your Act! calendar, and easily sync to Outlook for a comprehensive business calendar. *Bonus – did you know, you can automate Outlook sync? Save time and click Schedule Automated Synchronization from the Outlook Synchronization Preferences popup to set your schedule.
  • Set reminders for each meeting or to-do with plenty of lead-time so you are prepared in advance. *Bonus – did you know, Act! can filter calendar activities (that you specify) to the header in your calendar, so activities requiring special attention are the first ones you see? Just check the box for Use Banner on the Activity Detail popup.

  • Take notes and set follow-up activities, right from the meeting detail screen, so there’s no need to jot notes on sticky notes or waste time trying to remember details later. *Bonus – did you know, you can attach files, photos, or links to an activity? Click on the Details tab in the Activity Detail popup

TaskList-sm.png2. Task List – STAY ORGANIZED. Our business world is a fast-paced community, with ever-changing deadlines, tasks, activities and priorities. Act! helps you keep track of it all in a single, actionable Task List.

  • Clear multiple activities at once – use SHIFT to select multiple, then right-click and choose Clear Multiple Activities.

Timeline1-sm.png3. Timeline – QUICK, COMPREHENSIVE CONTACT VIEW

  • Easily see all interactions with a particular contact at a glance, in one, comprehensive, interactive view – no need to click around, trying to find where you typed that last note, or when you last called a contact. *Bonus – did you know, you can toggle the Icon to view with or without text? This is particularly helpful if you have a high number of interactions. Simply click Show Icon Only.
  • Filter to view particular interaction types, such as Opportunities, Histories, etc., so you can focus on particular actions. *Bonus – did you know, you can filter to great detail by clicking on the plus signs next to each interaction type in the Types dropdown, and checking or unchecking boxes.
  • View interactions by day, week, month, or year – however you choose! *Bonus – did you know, the yellow scroll bar can help you navigate through your timeline quickly, and can even zoom for you? Simply grab and stretch either end to zoom in and out.
  • Edit interactions, right from the Timeline, by simply clicking on the icon.

SmartTasks-sm.png4. Smart Tasks – AUTOMATE. Have a particular way of doing things in Act! and find yourself repeating the same process over and over? Let Smart Tasks help you automate and save you time. Act! Smart Tasks are a series of common and connected steps that can be automated, like sending an email, or scheduling an activity.

  • Easily define when a step should be performed, who the Smart Task can be scheduled for, and what the action should be.
  • Set up Smart Tasks for Contacts and Opportunities, to do things like schedule activities, make field changes, send emails, and perform Act! emarketing tasks.

These are just a handful of helpful ways Act! can streamline your processes and help you stay organized – watch our Feature Tours and get involved in the Community to keep the conversation going! Keep your resolution this year, with the help of Act!.
