Lookups and Universal Search

Our Universal Search feature can be found in the upper right corner of Sage ACT! 2012 and 2013.

 

This searches everything, even the text inside attached files and email. Unfortunately it cannot today create a lookup so can modify the fields or send a mail merge or any of the other tasks that a lookup is great for.

 

Is this something that is missing for you? If you want to be able to create a lookup from universal search results, KUDO THIS POST!!

Lookup might be tricky when multiple top-level records are found (contacts, companies, groups, etc)

 

Also ... when a search finds a note/hist/attachment, needs to be able to jump to the linked top-level records for a sinlge item
. EG from the h/n/a item - Right Click and Goto Linked Contact(s), Companie(s), Group(s), Opportunity(s)

 

Currently, you can open the sub-item ... but need to note the linked records and create a new lookup

 

This is especially bad looking up Products ... shows all the matches, with no way to tell which one you wanted

We would limit this to searches where only one entity was checked.

I think the functionality should be there.

 

It's a fairly pointless resource-hungry  feature as it is.

 

I also think you should be able to filter the scope of the search to a lookup or the current contact  / company / opportunity.

 

I also think there should be an OFF button for this feature, with the default being OFF.

Ben, I haven;'t used this at all because of the issues mentioned.  And if choosing one entity doesn't create a lookup any better than keyword search does, it would be pretty worthless.

It's better than keyword search.

 

It indexes the contents and metadata for every attached file. I can search for things like author, from, or a word inside the documents. I can be as specific as I want in searching contents of just a single field. 

 

Find me the guy from one of the big NW cities that sent me an email about Monkeys.

(Contact_City contains (Portland or Seattle)) and (Subject contains (Monkeys))

We've had about two years with Universal Search now and I've yet to work with a client that regularly uses this feature. As a result, we now regularly discuss the pros and cons of this feature with new clients,  and most agree they would prefer the performance boost from having it off.  At least we explain its value such that should they ever need it, we could turn it back on.

 

Creating a lookup from Universal Search seems an obvious requirement, but practically speaking very few will use it until Sage also provides a setup UI to control the size and direct the location of index files, frequency of updates (like doing them only when resources are below a certain threshold) and reduce the search to within certain dates (like within the past year.)

I have Act! Premium Version 16 and it is NOT available in this version. I think this should be a priority fix for ACT!
