Getting More Out of Mobile Search

Every Friday, I write a quick how-to for customers to help you get started with new or enhanced features and learn to use Sage ACT! more efficiently. You can read these short lessons, called "Fast Tips" on Fridays in the Sage ACT! Journal.

This month, we are all preparing for the launch of Sage ACT! 2013, and one of the most exciting features to be included with your installation of Sage ACT! Premium (access via web) is Sage ACT! Premium Mobile.1 If you have been reading the rest of this newsletter, you're already familiar with the capabilities of this product and what to expect in the upcoming release. Continuing the mobility theme, I'm providing some quick tips on how to search your Sage ACT! database from the mobile client.

Finding Data Using Mobile Search:
There are two primary types of searches you can perform in the Sage ACT! Premium Mobile client: a search of all records, or a targeted search within the context of a specific view.

Searching All Records:
From the Home screen, tap in the Search box at the top of the page.


Enter the text string to search. Sage ACT! Premium Mobile Search lets you enter more than just a contact's name. You can also enter a term or text that might be in any contact field, activity, note, history, or attachment.


Results will include Contacts, Activities, Notes, and History data that you have permission to access. Tap any item in the list of results to go to that item.

Note: To view an attachment, your device must support opening and viewing documents. You may have to download a mobile document viewer app.

Targeting Your Search:
When you select a view, such as Contacts, or the Notes screen within the details of a contact, you can execute a targeted search within the selected context.

Searching Contacts:
From the Home screen, tap Contacts.
Tap in the Search box at the top of the Contacts screen and enter text to search Contact fields across all accessible contacts. For example, you can type an area code, part of a company name, or contact name to display matching contacts.


Searching Notes/Histories:
From the Contacts screen, tap a contact whose records you want to search.
Scroll to Related Items, tap Notes or Histories.
Tap in the Search box at the top of the screen, and enter text to search for matching data within the Notes/Histories of that contact.

Sage ACT! 2013 Smart Tasks Enhancements

In preparation for the release of Sage ACT! 2013, significant work was undertaken to expand the functionality and practical usefulness of Smart Tasks. Prior to the upcoming release, Smart Tasks was quite powerful already, with the ability to automate key activities including simple things like sending a welcome email1 to a new customer. You could also automate more complicated multi-step tasks and accommodate a virtually unlimited number of combinations as process flows evolved with your business.

With Sage ACT! 2013, we have greatly increased the usefulness of Smart Tasks by implementing a few significant new capabilities based on feedback from existing Sage ACT! users. The first of these new features is the ability to run a Smart Task offline.2 We like to refer to this as "set it and forget it"; this feature allows users to configure any Smart Task to run from the server without the need for Sage ACT! to be running. You can turn off your machine at night and still rest assured that your tasks will run while you are away.

Another significant advancement in Sage ACT! 2013 is the addition of the data/field triggers3. This allows you to save precious time by automatically updating records once certain conditions are met, for example changing the status to "Closed-Won" once the opportunity has reached the sales fulfillment stage. Simply put, this feature allows you to configure Smart Tasks to proceed with the flow of the Smart Task once the specific user-defined field conditions are met.

Here is a simple example of how to define a field trigger3 that waits until the specified conditions defined by the logic are met. Let's use the common task of assigning a sales territory in the southwest region. The important new capabilities in this dialog are the "trigger" condition that states "Run when conditions are met". That means the user has defined this to trigger or continue (aka "fire") when a change occurs on a contact record and the State field being saved therein contains any of the state abbreviations for Arizona, New Mexico, or Nevada.


As you might imagine, the sheer number of combinations of conditions and fields that can be configured provides you with a nearly limitless ability to automate tasks—without having to wait for any specific time of day or periodic checking being necessary.

E-Marketing Meets Mobility: Six Quick Tips to Make Your Emails Mobile-Friendly

Did you know that over 80% of smartphone users check email with their device? Did you also know that by 2014 mobile Internet usage will outpace desktop Internet usage? As email marketers, we need to take notice and make sure our emails are friendly for the mobile reader.

#1 Enlarge your call to action.

Call-to-action buttons should be at least 44x44 pixels. CTAs need to stand at attention in your email to make sure the mobile reader doesn't miss them.

#2 Less is more.

We've always told you to keep your emails short and sweet. Now that emails are being read at the gym, in bed, or even at red lights, brevity is key to your communication success.

#3 Use images wisely.

Apple products are the only mobile devices that currently default to showing images. Other devices require a click to download like desktop email clients. Make doubly sure your email makes sense without images turned on.

#4 Rethink your layout.

Two and three column layouts are challenging to read on mobile devices. Consider moving to a more streamlined email template design.

#5 Design with fingers in mind.

Think about font sizes, line spacing, text links, buttons, and white space when you are putting your email together. Give fingers plenty of room to 'play' as they search for what they'd like to click.

#6 Test it out.

Send your email to a variety of mobile devices to see how it looks. If you don't have a variety of mobile devices represented in your office, try a service such as Bright Peak's email analysis to get a picture of what your email looks like in a variety of email clients.


Mobile will continue to encroach on email readership as 2012 winds down. Stay ahead of the curve by implementing these tips before your competitors do!
