3. I put the contacts into groups manually. I have no idea what a Dynamic Membership is
I would suggest setting up new groups with dynamic membership, to ensure no contacts get missed.
This can be done by selecting Edit Criteria after clicking Add/Remove Contacts on the group detail view. For example, to create a group containing all contacts with the ID/Status of Retailer, starting with A to G, you could use the following criteria. This would automatically update the group membership as you create new contacts.
