updating multiple contacts at one time.

I inherited a database that needs some major adjustments due to various incorrect values entered and an import from a previous database gone wrong. 

We have one multi-pick list that allows for over 5,000 records that needs to be updated. There are 11 values that need to be swapped for other values in the list. Some of the values are duplicates; differiented by a space.

For example, the value in the list will look like this:

_Broker - Developer  *this is the incorrect value used 

Broker - Developer 

Is there away to bulk modify certain values in a multi-pick list. Eventually, I want to be able to delete those 11 values. 

Does that make sense?

You will want to use the Edit | Replace function in Act! to get this accomplished.   Prior to doing so, please do a backup (File | Backup) because there is not an "undo" option once you do the replace.

Below are the instructions to do the global replace on a lookup.

1. Create a lookup of the contacts you wish to replace field values for
2. In the Act! menu bar, click Edit > Replace Field…
3. In the Replace contents of: drop-down, select the field which contains values you wish to replace
4. Depending on the field type, do one of the following in the Value: field:
   • Character: Enter the values which will replace the existing character values
   • Date: Click the Value drop-down and select the desired date which will replace the existing date values
   • Phone: Enter the new phone number which will replace existing phone number values
   • Yes/No: Select the value which will replace the existing Yes/No values
5. Click OK and when prompted to continue, click Yes

Hi Michael,

I'm having a problem that I sure hope you can help with.  I'm trying to change the "stage" of multiple records from "Estimate Performed" to "Estimate Issued".  Here's what I've tried so far:

1.  Created a group that segregates all records matching the "Estimate Performed" criteria.

2.  Did a group lookup, then an edit --> replace field.  

3.  A two-field drop-down dialogue box appears.

4.  First drop-down asks me which field, next asks me for a value.

Problem is, the first drop-down doesn't include the "stage" field.

Any help would be much appreciated!

Hi Mark,

Unfortunately, the Stage field in the Opportunity section cannot be globally replaced within the native Act! application.

If you are working with an ACC (Act! Certified Consultant), they should have some tools to fix this for you.   If you are not, let me know and I can assist you.
