Sync database with multiple users

We have a team of sales professionals and I want to implement Sage Act!

I have installed trail to see how it works.


What I'm looking after:

 

1. Data will be shared with multiple users (having multiple Pcs on same network).

2. Users will be specifically sharing specific data with each other for instance: 

     i. Contact list

     ii. Groups

     iii. Companies

     iv. Tasks list

3. Manager will be able to retrieve data from all users, specificly: 

     i. Contact list

     ii. Groups

     iii. Companies

     iv. Task list

     v. Opportunities 

    vi. Calendar etc. 

But none of his data will be shared with other users for instance entries in his:

    i. Calendar 

    ii. Task list

    iii. Opportunites 

    iv. Calendar 

Data will not be shared with anyone. 

 

I need an explanation and/or design on how to achieve this setup.

Also if possible explain with examples.

For further clarification with the suggested solution if using Pro:

 

Should you need to add another "manager", and would need for them to share/see their data amongst their managerial selves, you would not be able to do this, as setting access to "Private" means just that:  the "owner" is the only person who will ever see that data.

 

Also, in ACT! - tasklist and calendar data is the same stuff - just two different views into the same set of records.

I believe one way of achieving this is to create activities by ticking the "private" option. This of course is a manual process, but hey, its Act - everything is manual.

If I was just choosing a CRM, I wouldn't choose Act.

I've been using it for years and I run into problems far too frequently.

Today, Act won't even open!

My advice - look for a cloud solution.

Hello Muddassir,

Welcome to the Sage ACT! Online Community!

 

By default all users will have access to all data, this includes administrators. 

 

With the Pro level product, you can assign your information (Manager's data) to be Private and prevent other users from accessing it.  With the Premium level product, you can create access levels and teams to distribute the contacts to different users.  Here is an article with more information about access levels: KB Article 15284

 

The manager can set certain record types to be Private by default by using Tools > Preferences > Startup > Record Creatation Options.

Thank you very much for your input, I am planning to buy Premier version so this mean it is better not to buy it rather go for Pro?

Certainly this isn't a decision I can make for you, but think about how much control you want to help segregate your contacts and how many users will be in the database.

Premium allows for Teams, whereas Pro has either Private or not Private.
If your number of users will be close to 10 or more, Pro will only allow up to 10 users defined as active (Premium is unlimited).

I need to know how it will work?

I mean I have to install Sage Act! on one computer that will host it?

and then I will distribute .PAD file to each user and share it? what I learned from Network sharing? 

I think I have to do this?

and then I will use make different teams like:

  1. Sales & Marketing
  2. Finance & Accounts
  3. Logistics
  4. Customers Service

and grant permission to each members accordingly like Managers database will be private and users will be sharing the data to everyone?

right?

Please help me to make the architecture for database?

 

Btw, the mobile version that comes with Premium works on BlackBerry as well?
