Set Up Smart Task To Ensure New Renewal Date Is Scheduled

Maybe I've approached this wrong, but I've added several custom field to opportunities to track renewals, a special type of opportunity.  I want to make sure that when I close out an opportunity as Won that the next year's renewal has been created.  For extra points, to make sure an activity has been scheduled for the new renewal.

Opportunities fields in use:

  • System field - Status (0, 1, 2, 3)
  • Custom field - Next Yr Scheduled (Y/N Check)
  • Custom field - Renewal field (Y/N Check)

If renewal field is checked and the status goes to 1 "Won"

  • then If "Next Yr Scheduled" is checked, do noting
  • else If "Next Yr Scheduled" is not checked, display an alarm, much like an unfilled mandatory field

If renewal field is checked and the status goes to 0,3,4 do nothing

Can a Smart Task be created to accomplish the above?

Many thanks in advance for your help.

Re: Set Up Smart Task To Ensure New Renewal Date Is Scheduled

Hi John,

I believe what you are looking to do could be done, however it would require at least 2 Smart tasks as you could not make separate outcomes depending on what is picked.

I would also recommend using run on scheduled time as this is normally more reliable. I have included our Smart Task article as it may come in handy.
