Issue with Mail Merge

Hi Guys,

I am trying to send an email to multiple contacts via Mail Merge.  Under the Write tab, I created a New Email Template and copied/pasted an image/picture into this email (originally the image was from .pdf and .pptx files—I tried both).  I created a Lookup of the pertinent companies.  I accessed the Mail Merge Wizard and used the appropriate template and selected the current Lookup.  The problem is this:  if I send the email to one contact, then the wording and image go thru fine.  However, if I send the email to more than one contact, the image does not appear—only the wording.  Is there a solution to this or do I have to attach the image.  We prefer to have the image imbedded in the email.

Thank you for any help you can offer.

LGB

Re: Issue with Mail Merge

I am using Act 2009 and have the same problem.   I am thinking of upgrading to the latest version and  would like to know if this issue has been solved.   Which version are you using?

I know this has been an ongoing issue and Act has not wanted to address it in the past.  Could some product specialist please chime in here?

Thanks.

Re: Issue with Mail Merge

Hi LGB,

That is unusual, I haven't come across it before.  I would suggest though to have a look at the format of the image. if it is a .gif, .bmp or some other image format, i would suggest re-saving it as either a .jpg or .png and try again.  maybe also try recreating the Template.

Kind regards

Re: Issue with Mail Merge

Thanks, but I' ve tried your suggestions, using all forms of image format.   Ultimately though, you still have to save the template file in .adt format.    My question still remains unanswered.  Has this bug been fixed with the latest version of ACT?

Re: Issue with Mail Merge

Hi Victord66:

Thanks for responding to my query.  We use Sage Act Pro 2011 and the problem exists in this version. If you have any other ideas how to resolve, I'd appreciate hearing from you.  And I'll let you know if I find out anything.

Thanks a bunch!

Re: Issue with Mail Merge

Thanks LGB.   I am investigating using and addon, but frankly I don't feel this should be necessary.     I've already tried HighImpact Email but with it you are limited to their stock templates.   Not really suitable for my business as I like to design my own email blasts with Photoshop.    It does fix the problem of the "no image showing"  though.

Re: Issue with Mail Merge

I am using Act! 2012, and I ran a quick test of the issue.  I created a simple template that had a .png image in it.

I then sent the template to multiple recipients by two means:

Click Write>Email from template

&

Click Write>Email Merge and followed the prompts

in both cases all recipients received the message with the image in it.

if this is the behaviour you are expecting, it works in Act! 2012 Premium.

Kind Regards

Re: Issue with Mail Merge

Thanks, but this issue is this.   Recipients who use a web based email format see the image just fine.   Those who use Outlook do not see the image but just a square with a red x.   Try it again using those criteria.

Re: Issue with Mail Merge

Just installed a trial version of ACT 2013 and the problem has not been fixed with this version.  Still getting the rectangle with the red x where an image should be.     And to be honest with you, I don't see that this newer version has anything more than my old 2009 version, at least nothing that I would be using and as a matter of fact it is much slower than the 2009 version.

So much for that.

Hi Victord66, If the issue is only occuring in Outlook then this red X is nothing to do with Act!.

It sounds like the issue is in fact the default behaviour of Outlook.  If the sender's email address is not in the recipient's safe senders list, then Outlook does not download images in the email message.  This is a security measure to protect the recipient.

In my test I mentioned in my last post, all my recipients were using Outlook, but have me on their safe senders list.

This screenshot I hope shows the same issue, if it does then you just need to right click the alert bubble at the top of the message and choose "add to safe senders list...":

red x.png

this is something all your recipients will need to do to see images that you send to them.

I hope this is helpful.

Kind Regards
