In need of experience of recruiters with Act

Our company provides Financial Interim Managers and interim Financial Experts on temporary basis and we recruit financial professionals. We use Act 10 2008 for managing our target/suspect/prospect/clients (that works well) and we ar now trying to use Opportunities to our Salesprocess. We have kandidates instead of products and per assignment we register different kandidates in different stages of the proces (of one opportunity). 

 

I am curious of the way other recruitmentcompanies are working with Act and want to share information in a way we and the other will get a better use of Act. Is there any-one with experience on that area who is willing to share information? A consultant with experience handy for us is also interesting.

One of the methods we find work is to use the records as follows:

  • Contacts - Both contacts at employers and applicants 
  • Companies - Employers
  • Groups - Company Name for clients and sub-groups for the actual jobs


Then you link the employer staff to their companies (they can also become applicants as you'd know), and link the applicants and their activities to the relevant Groups so you can see all the work done for specific jobs.

 

 There are also some good add-ons to auto-attach resumes to the contacts

Our company is a high tech recruiting and search firm.  We place candidates in full time positions.  We use Act Opportunities to track our search assignments. We link prospective candidates to these assignments.  

 
Our firm has  used Act for over 10 years.  The current version of Act (2009) seems to be the most useful to the way we do our business.  In the past we have used ACT more as a tool to organize and track our activities.  We are now using Act to drive the search process.  We have found Act to be limited as a tool to match candidates with the job searches.
 
I did have one question.  We have not attached resumes to Act contacts previously.  We are starting to now.  Each resume (document) ranges form 40 to 80 KB. Can we run into a problem attaching resumes?  Will it hurt the performance of the database or the ability to sync the database.  Are there addons which are a better choice for attaching resume documents to Act?

We are a Temporary Placement firm and have been using ACT for some time now. We have created a Group named "Classifications". Each classification contains a Sub Group, Junior, Intermediate, Senior and Advanced. IE; General Office Clerk - Junior.

 

We have created two custom fields, User 1 & User 2. From the drop list we select the appropriate employment category and level for the resource based on their qualifications. We then created a Group Criteria dynamic membership rule. The rule will read the field contents and place the resource in the approprite group. When a request comes in, we simply select the approprite group and get an instant list of qualified resources. Based on availability, we will then hand pick a resource or two for submission the the client.

 

We have also created a detailed companies list. Our clients have a customized layout different from our resources. Per client we can see each opportunity received and see whether the opportunity was Won, Lost and given to another firm.

 

Based on your response, can you clarify if and how I can link a resource who won a contract to a specific client. Basicly, I'd like to track each resource a client hired (will then be able to forcast or predict hiring trends) and also be able to see the clients every resource has worked for.
