Importing from Excel

I want to import data from excel.

 

example: I have 2 columns Contact Name, Phone number.

 

I want to update phone number for contacts  who is already in act database.

The ACT! import won't do an import/merge like that, that would require a third party importer such as OakMerge.

I have downloaded Trial Version of OAK! Merge.

 

I have 3 field in database. Company Name, Phone Number and Address.

 

Company name is there in database and only phone number and address needs to be adding for particular company name, but it is not working.

To import new phone numbers into existing records using ACTs import tool.

 

The Excel sheet must have the Key de-duplication fields that ACT use in it. If phone is one of them in ACT remove in de-duplication fields and just leave Company and Contact. (You could use postcode if populated in both your Excel and ACT records as a 3rd de-dupe field.

 

Now create a new field in ACT as a phone field and call it something like imported phone number.

 

Now import your information from the Excel sheet mapping your Company and Contact fields (Plus postcode if you are using this in ACT as a dedup checker) and map the phone field in Excel to the new Phone filed in ACT. Chose the Merge option in ACT import wizard and do not create new record options.

 

Once the import is in ACT lookup the new Phone Field for contains data and then using Edit  - Copy Field copy the New Phone Field to the existing phone field for the lookup.

 

Job done

I am using ACT import feature and i get a message import completed successfully but records not updated.

Sorry you got an error with EXCEL connecting to OAK!Merge.  The connection failed. Not sure why. There is something in the XLSX that is not allowed.

If you are in a hurry, just save the XLSX  as a CSV.

 

If you want to troubleshoot,  here are some tips: 

  • Verify excel is installed on the same PC as OAK!Merge and can open the XLSX
  • Copy and paste the data into a new spreadsheet and try that.
  • Rename the worksheet TAB
  • Rename any weird or long column names
  • Deleting columns of data to find a bad spot.

 

You can also verify the ACT EXCEL drivers are working by importing the sample files for   XLS and XLSX into the ACT Demo database.  Looking in Samples folder    C:\E Tech Systems\ACT\OAK!Merge 18\Samples

Please see it shows mapping correctly and also gives us a message that import done but when we see in ACT records are not been updated.
