Hyperlinks in contact details

Hi there.

 

I am quite new to ACT so just trying to find my way around. I can see that you can attach individual documents to a contact. However we work on projects and some contacts may have many projects running at the same time with lots of different docuemnts for each. I am aware that you cannot attach folders to contacts, however is there any way of adding hyperlinks to project folders stored on a network resource.

Thanks for the quick reply. Excuse my ignorance but where in the contacts details can i put this link. I have tried the notes section but it doesn't seem to recognise it as a hyperlink.

 

A bit of a step by step idiots guide would be usefull :-D

Yes!  We find this very useful as well.  We create a link to the contact's FOLDER on our network drive.  Here is the format that you must use:

 

file:///C:/FOLDER

 

You can change C: to any network drive.

You can also link to a file directly by adding /Filename.ext to the end of the above link.

Just to clarify . . . we use this link in a FIELD of type URL Address.  It may work in the attachment area, but I've not tested it.

You can also create a link to a shortcut to a folder (you have to create the shortcut first) in the Documents Tab, as per http://tinyurl.com/583qe3

You MUST use a field that is defined with a FIELD TYPE of URL Address.

 

There is a field called Web Site that is currently setup for this (typically, it lists a web page).  If you're using that field, then you can add another field  or modify an existing field to have TYPE = URL Address.

 

This will vary slightly depending on your ACT version, but:

 You must be the Database Admin and all other users must be logged out:

  • Tools --> Define Fields
    • Select a User Defined Field and click EDIT FIELD on the left OR
    • Click Create New Field
  • Give the field a name (or change the name)
  • Select the Data Type = URL Address
  • Finish

 

NOTE:  If you have a field in your layout that you WANT to use for this, make sure the cursor is in that field before you enter Tools -> Define fields, and it will select that field in the list for you.  If you CHANGE it, it will tell you that you may lose the data in the field when it converts the data.  Make sure you use an unused field, or that you don't need the data that is in there now.
