Our act use to automatically record in the History if an email was sent out or if a letter from template....what can I do to fix that?

This may or may not help you, as there was no information provided on what version of Act! or Microsoft Office you are running on, but for the email history recording, see the following knowledgebase article:
When you say letter template, do you mean you're sending that template as an email, or you're printing it out and mailing it via postal mail?
