Maximum number of sub-records exceeded.

Maximum number of sub-records exceeded.

I have a client in commercial real estate. The client has manually grouped contacts by the real estate address that includes property owners, lawyers, prospect, etc... that have different addresses than the property and can be related to more than one property. They have a master group with 750 subgroups which are the property addresses. In ACT! for Web you get an error that the # of sub-groups exceeds the limit and APW crashes.

How many sub groups can you have in group?
Anyone know how to increase the limit?
Or is there a way to move in mass the addresses that start with No 1 to a new group called Address list 1 instead of doing it one at a time.

Either:

  • Act! isn't the product suited to the task, OR
  • There is a better way to do what they are doing using Act!, possibly custom tables are required

Re: Maximum number of sub-records exceeded.

I believe the limit is 400. Same applies to Companies/Divisions

Re: Maximum number of sub-records exceeded.

After some testing, it appears that the limit of sub-groups in any single level on Act! for Web is 500.

So the following would work fine:

  • First level A
    • Sub-group A
    • (499 more groups)
  • First Level B
    • Sub-group B
      • Sub-group B1
      • (499 more groups)
    • (499 more groups)

The above does not have more than 500 sub-groups in any single group.

The following would cause an error when expanding First Level A:

  • First level A
    • Sub-group A
    • (507 more groups)
  • First Level B
    • Sub-group B
    • (350 more groups)

The above limitations only apply to the web interface. The desktop software can display groups with 500+ sub groups.

In addition, the maximum amount of levels in any group you can possibly have is 15. This also applies to the desktop software.

Re: Maximum number of sub-records exceeded.

Hi Gary,

Thank you for getting back to me.  I can get the client to break it down.  He is already breaking down the addresses by city/town which he said should have been his original design.
