Linked fields

I have a problem with the linked fields in ACT!10 Premium UK by one of my customers.  When I only use the primary fields then it works, but when I adjusted other fields it doesn't work anymore.  I know that the Company fields have priority on the contact fields.  The fields are exactly the same. Is there a limit for the number of linked fields ?

Hello Mike,

 

Well when I wanted to update the fields, it doesn't work.  When I change a field on the screen company, I got the message to update the linked contacts but even when I say yes, nothing changed in the fields contact. When I unlinked all the fields and linked only the addressfields than it works perfectly, but when I try to linked a new field it goes wrong.

Does it work if you select just some or one of the other fields? How about in the demo database?

Might be something odd in the field description or the data

Hello Mike,

 

Well it is very funny, in fact it is happening by one of our customers. The fields with problems are created fields by my customer.  When I created a new field than the link works perfectly.  So I do not know exactly how he created those fields.  I try to understand what was going wrong. He created a lot of new fields.  He of course think it is a bug in ACT! and when I suggested to created a new database and import the database he is not very happy.  I think that he changed one moment the number of characters and got the message that you cannot changed the field lenght. Can this be the problem and even after if you changed and put the right lengt it doesnot work anymore ? But why only with the new customer created fields and not the fields of ACT!?

I'm waiting for a quick answer.

If the fields are not exactly the same it might cause it to break... certainly the field types have to match

I've had what sounds like the same problem. None of the linked fields from the Company are copied to the Contact. And this includes the standard Act text fields as well. I've made sure that both fields are the exact same, i.e. ensuring I'm not trying to copy a text field to a Yes/No field.

 

What I've done:

Checked that the fields are correct and linked to each other

Typed in a test text in a field, for example changed City.

While in the Company view, having selected the specific company (I've tried to make sure all contacts were selected too, didn't change a thing), I've clicked on Update Linked Fields from the Company menu. (I've followed the instructions, see more here)

I've then gone to the contacts and the information has not been updated.

When I try to update the specific contact, Contacts -> Update linked contacts, I can't select it since it's greyed out..

 

I thought at first that this just affected our custom fields, but no, it affects all fields in Company. Am I doing something wrong or is this an issue with Act?

I just figured out what was wrong - my contacts weren't linked to the company.

 

Since all my companies are populated by rules, they do populate the lists in the company view and it looks just fine, but apparently you need to link them twice...

Is there some way to automatically link a contact to a company? It would be quite a time consuming manual labour to go through our 10 000 contacts and do them one by one...

It won't help with your existing records but for new ones, if you create the Company first and fill out all the address details etc, then Companies> Create Contact from Company the new contact record that is created is automatically linked to the company record. If you do this on a regular basis it's worth customising the toolbar and adding the Create Contact from Company button there.
