Limited Access

We have multiple contacts per company record and 1 of those contacts we have as private so only 3 of the dozen users can view this particular contact.  But, we have just learned that when any of the users go to the "business card" in company they are able to access the restricted contact.  Is there anyway to limit the access in that field too?

Which version of Act! are you running?

 

You mention having 1 contact set to Private so that only 3 of the users can see it, I assume you are referring to having that contact's access set to Limited Access to allow you to define the 3 users that should have access.  The first thing to check is if the 'other' users can see this contact in the List View or through a Lookup, if the Limited Access is defined correctly this contact will not show up. 

When looking at a Company > Contacts tab - if the user does not have access to the contact, that record will not be displayed in the list of contacts.  Does the contact in question show up in the Company > Contacts tab?

Are the names listed in the Contacts tab the 'business card' you mentioned (not sure exactly what you meant by that one)?

We have ACT by Sage Premium.    For every company we have 2 contacts.   One contact everyone has access to and the other is supposed to be limited to 3 of us.   When 1 of the other users looks up a company they only see the one contact, which is what we want.  Earlier this week I found out that when these other users, clicks on the company it brings up the business card and that is when they can see this restricted contact.   Is there anything we can do so that it does not show up there?

Is this Act! 2010 Premium (or 2009, 2008, etc...)?

 

And to recap: they cannot see the contact record through the Contact List/Lookup, but can see it listed on the Company > Contacts tab - correct?

And correct, they can not see it through contact list look up.  They can see it in Company contacts tab & history tab
