How to import Customer Records into a Specific Group

Hi,

 

I am trying to import Customer Records into a Specific Group on my Act! Database.

 

Currently, the Import only imports Contacts in to the Contact List; I have tried adding another column on my CSV file called "group" and typed the Group Name for each contact record but it doesn't recognize the field.

 

What am I doing wrong?

 

Any help would be greatly appreciated.

Hi Dan

 

You appear to be taking the right approach. When you say it doesn't recognise the field, at what point are you experiencing this?

You should be able to put an additional column on the csv file, import that column into an Act! field - say for example User1, and from there you can lookup on this field and add the resulting contacts to a Group.

Hello Glenn,

 

Thanks for taking the time to reply.

 

There is no specific point; I work through the stages of importing the contacts and notice that even with the group column title and name in the CSV, it doesn't automatically add the contacts in to the group I would like them to be in, it places them in 'All Contacts'.

 

I then have to manually add them in to the group in question; is it possible to automate this process?

Hi Dan

 

If you would like the contacts in your import file to be automatically assigned to a Group, you must include a column in the import file for a field or fields that contains data that matches a Group membership criteria.

 

(an example would be the ID/Status field used to assign contacts to a particular status group).

 

This way, when you import the contacts in and these field(s) are populated, if the data in these field(s) matches the membership criteria for a particular Group, the contact will be automatically linked to that Group.

 

So you need to have the Groups already created with the membership criteria set.

Hi Glenn,

 

From my understanding I would need to set-up criteria based on each Group and then make each Contact Record I am importing meet some kind of criteria for each Group, therefore automatically importing it directly in to the group.

 

Is that correct?

Correct.

 

Or you could import the Contacts and then lookup and add manually afterwards.
