External email list lookup

We exported all of our ACT! contacts to an Excel spreadsheet for a Christmas card. From that Excel export we created an email campaign with third party software. After the campaign was sent, we received a lot of hard bounces on email addresses. All of the hard bounced email addresses are in a separate Excel file. We would like to clean our ACT! DB of all the addresses that bounced.

 

Is there any way to perform a lookup from a list of this sort, or will each email have to be looked up individually? Any suggestions would be helpful, as we would like to clean up our database.

Hi Philip,

 

Here's what I'd do:

 

  1. Create a new column in the Excel file containing the bounced e-mail addresses
  2. Put an X in that column for every e-mail address in the file
  3. Change your Duplicate Checking preferences to match contact records on E-mail Address and no other fields (on Tools Menu, Preferences, Duplicate Checking is on the General Tab - set it to Match Contact Records on E-mail and make sure Enable Duplicate Checking is turned on)
  4. Do a "Save As" with your Excel file and save it as a Text (tab-delimited) file.
  5. Import the file into your database with the Import Wizard and set it up so that you map the new column with the X's to an unused field (like a User field, or you can create a new one) and make sure you tell ACT! to merge the data when a match is found.
When that's done, you should be able to do a lookup on that field that you mapped the X's to - the returned list of contacts are the bounced ones.

   One more step to add just in case it is not obvious:  Back up the database before the import step!

 

   Imports and duplication settings are easy to mess up, so you want to be able to roll back if things go awry.
