Double-Spaced Contacts

Hello,

 

Our company has recently began linking emails to opportunities through ACT!, and it has been causing some issues with our contact list.

 

Each time an email is used to create an opportunity, a new contact is added.

 

What seems to be the issue here is that the contact does not automatically link, due to the double space between the First and Last names.

 

Example: 

 

existing contact - John Smith

duplicate contact - John  Smith

 

There is no effective way to troubleshoot these contacts either, as the search bar does not recognize two consecutive spaces, and the Scan for duplicates option within tools also does not recognize the error.

 

Our Outlook contacts are formatted properly on that side, and do not have any of the following potential causes for error:

  • Spaces before the Last Name
  • Spaces after the First Name
  • Two spaces between the names

 

Has anyone encountered a similar error? The only post I can find regarding this type of issue was from 2010.

EDIT: when Outlook contacts are brought into Act! in any form there is an issue with double-spacing.

 

We are using:

  • Act! Premium V20
  • Office 2013
  • Shared database (4 remote, 1 main)
  • Windows 10

It seems that the problem lies in the validation of the existing contact.

 

The best way of validation is with the email address

 

The other point is to check that the creation of the contact (When that contact does not exist) does not leave a blank space where the Middle Name should be.

 

Good luck and don't forget to make a frequent backup of your Act! database.

Thanks Juan, I was able to get the duplicate check working by validating Email address among other fields.
