Does Duplicate Checking find duplicates a user doesn't have permission to?

Let's say Person A puts in Contact X at Company Y. Person B does not have permission to see Person A's contacts. Person B also has contact with Contact X at Company Y. Will person B be informed that there is a duplicate when attempting to enter the contact?

Hi mjmcpe,

Act will not prompt for the duplicate contact in this scenario. The duplicate contact prompt will only display if the user has access to the existing record that they are attempting to duplicate.

Hi mjmcpe,

Act will not prompt for the duplicate contact in this scenario. The duplicate contact prompt will only display if the user has access to the existing record that they are attempting to duplicate.

You can mitigate some of the problems by always starting at company level. The company name will be listed even if they do not have rights to look at the detail so they at least would be warned that the company exists in the database and then make inquiries via the administrator before proceeding to create a new contact.  Not perfect but can help.

That does help. I've been trying to steer them to start there when entering new companies anyway. Right now we have 0 company records because everyone started in Contacts.

It's possible to set up automatic company creation in the Company Preferences window. See the following Knowledgebase article for more info: http://kb.act.com/app/answers/detail/a_id/36117


Setting the threshold to 1 will create a company and link the contact automatically once a contact is added with the company field filled in. This will match and link other contacts if the company field is exactly the same. This will also happen retrospectively for existing contacts once enabled.
