When name duplication occurs during file attachment, act auto generates an additional id renaming the file being attached

is there a way to have a unique prefix added to the auto generated name.

We coded all our customers i.e..

Customer A = A234 attached doc name A234demo.txt, A234sale.txt, etc

customer B = B234 attached doc name B234demo.txt, B234sale.txt, etc

so I like to have A234 included to the auto generated name by act for customer A and so on I am suspecting I will have to continue to do this manually

I hope this was clear enough

maybe someone knows of an add-on or can provide a fix

The additional ID is just the date/time/UID ... to ensure they don't conflict. There's no logic in this about what record (or records) the attachment is linked to

At a glance, the main issue with doing this would be: How should you handle an attachment in the history that is linked to more than one contact (especially from different companies) ... while you might not do that, it would need to be handled as it's possible in ACT!

An example might be a PowerPoint presentation that you're delivering to people invited from different companies, or a Price List for similar clients

Because Attachments can be in History, Activities, Groups, Companies, Opportunities and the Documents tab ... it's adds quite a degree of complexity to resolve different scenarios

So ... why would you want this, anyway?

we started this id concept way back before sliced bread.

Using this data id made it real easy to cross-platform and change/link database for external use.

 

I dont believe  it would interfere with act internal use of this data, since attachements are stored externally

it would allow us to use this data as we have been across inter-office platforms/application.

The id once assigned, including custom prefix, by act would never change.

 

It would be less tedious to have a fixed prefix included in the renaming process, in the past people just forget or do not know the id

for a paticular client at all so we ended up with duplicating filenames and had to manually make corrections.

There are ways to number all the records in ACT! ... and attachments are linked to the records.

Just not naming the attachments, themselves

Please elaborate on the process or be kind enough toprovide a solution link.

 

Having looked at field security and ballon reminder per field when change takes place, a wealth of information found in this forum.

 

When adding document to contact I want to be certain the user adds my custom prefix.

As a reminder I will pop up a ballon message with instruction, etc

 

However I do not want the record to be saved unless this process has been completed.

IE: The user must manually add a custom prefix to the document name being attached.

How can this be accomplished
