Activity Date, Activity Clear Date, History Record Date

Sage ACT! Premiumm 2011

 

Just curious - is this working as designed?  If it is, is there an addon that will do it differently?

 

Create activity for today.  Fast forward to next week.  Clear the activity.  The clear date in the Clear Activity popup stays the same as the original activity date so the History record shows the original activity date, not the date the activity was actually completed.  The only place the current date shows up is in the History Create Date.

 

The problem is really for high volumn callers.  To manually change the date, it adds 2-3 clicks to change the date for each call.  It's especially painful when they are charging through phone calls and changing only the Results to Call Attempted; no changes to Regarding and no notes to the history record.

 

The other problem is that rollover can't be used because the activities are created by SAM for a generic Support user that is not logged into every day.  All the other users are set up to View and Reschedule for this user.

 

Ideas? Addons? Script?

This is functioning as designed. The original date of the activity is retained in the activities table, but the history will reflect when the activity was actually cleared. Clearing an activity is not intended to reschedule it. Unfortunately, i am not aware of an existing add-on that will force an activity to be rescheduled when it is cleared.

Just to clarify, the original activity date is retained in history when clearing a single activity, but the date the activity is actually cleared is used in history when clearing multiple activities.

They are not clearing multiple activities at one time.

 

What is happening (client showed my and I tested it myself) - Activity get scheduled by SAM (Sales Automation Manager) by and for a generic Support user (administrator and I am the only one who logs into the database any other time with that user.  The support team of 5 people who are individual users in ACT!, set their Task List of include those activities.  They go to the task list and start calling.  They may call on a past activity.  The click to clear the activity.  The date in the Clear Activity screen is NOT today; it is the originally scheduled date - usually no older than a couple of days.  The activity date stays the same.  The History record should show a different date because it was cleared on a different date.  That is NOT happening.  It is still showing the original, past date.  The only place actual cleared date is showing up is the Create Date of the History record itself.

 

So, if that is what is supposed to happen, it really throws off their call reports.  If they schedule multiple activities today but don't get to the calls until Monday, the completed calls show up in June, not July.  Potentially, it could affect their income if they have a call quota.

I understand. There is more than one way to look at the functionality. We have actually had a number people say they want the history to reflect the actual activity date. And what about the situations where a past activity was not resolved today, but on another date? Maybe an activity preference setting would be appropriate.

One suggestion might be for them to use rollover to get all activities they are calling to the current date. There's also this free add-on: http://exponenciel.com/actaddons/actaddon.aspx?ID=136

I am confused I have three seats here in the office, When I clear and activity it records the activity as the date in which it was scheduled.  I have others in the office that when they clear an activity it changes the date to today.  Is there a setting to allow you to get it to always clear to the current date.

Welcome to the Sage ACT! Community. What we are seeing is that clearing a single activity will record the history with the actual date of the activity. However, clearing multiple activities at the same time will record the history for each activity using today's date. This is a reported issue that is scheduled to be addressed in the next hot fixes for ACT! 2012 and 2013. Unfortunately, there are no plans to fix this issue for ACT! 2011.

I have noticed that with both of the other two they right click on the task and then the clear it that way, if they clear it by checking it off in the main screen it doesn't change the date.  I also have noticed that they show having hot fix 2 on their systems while mine does not.  What is the Hot Fix 2 and how do I add it?

Hot Fix 2 for what version of ACT!? Go to Help > About ACT! to get the exact version number.
