Activities vs History

We're relatively new to Act and trying to figure out Notes vs History vs Activites.  We are most confused between Activity and History.

 

When you make a new history it has that drop-down list of activity like items (Appointment, Meeting, To-do, etc), yet when you make a History it seems to have nothing to do with an Activity.  My original assumption was that History would essentially be a cleared Activity.  That would have positive effects like:

 

  • Adding a history would add it to the Calendar view so you could "fill in a past day" and everyone would be able to see it on your calendar.  Not so by our tests.
  • The Activty report would include items entered from the History if you left "include cleared items".  Not so.

It does seem that a cleared Activity becomes a History BUT a History does not become a cleared Activity.  Is that the right view of it all?

 

Are Activities really only forward looking and should NOT be thought of as a back/forward stream of events like a normal calendar would be?

If they want to record history for an activity that they did not schedule on their calendar, they would first need to create the activity for it, then clear it. The ideal way for this to flow is to create the activity ahead of time, then when it is done, clear it to put the results in history.

You are correct. In early versions the activity completely disappeared when cleared.

So if you want a record of meetings on the calendar, it is nuts to ask your salespeople to create a meeting in the past and then have them immdiately clear it?

Activities are scheduled out in future time while History is for events that occured in the past.

 

Activites that get completed turn into History or they just get deleted if you don't want to record History.

Hitting the History button is akin to recording an Activity that you want to record in the past or just happened.

 

The reason for the difference in the two (and there reason why there is a History button) is the time part listed above.

Perhaps for a little more clarification:

 

If an event occurs (meeting, history, etc.) that was not scheduled in advanced (i.e. - an "activity") and you want it to be logged in history, users do not need to scheduled and then clear an activity - just go straight to the history tab and enter the item there.

You don't need to be in the history tab at all, just click the history button for logging past events.

My problem with that is those do not seem to show up in the calendar view. My sales managers want to take a quick look at the sales staff's calendars and they see lots of "holes" in the graphical view where in fact meetings did happen.

Still would be nice if a history showed on the calendar, but I will close this as solved, or at least explained.
