ACT 2009 Premium - How to track history for Contact Notes

Is there a way to track history on all changes on Contact Notes?  Or is there anyway from stopping people to back date Contact Notes?

Hello Dhruv,

Unfortunately there is not a way that I know to track individual changes to the Notes. The most you can do is add the Contact Notes: Edited By and Contact Notes: Edit Date fields to the Notes/History Report to see who the last person to edit the record was and when they did it. You can put the Edit Date in long format to see the time as well.

Thanks Greig for your suggestion but it still doesn't help my situation. I would like to track the history on Notes.  Is there anyway to stop the notes from being back dated?

There's no way to do this when the note is created, but you can set it up so the note cannot be edited after it is saved. The following process will need to be done on each user's machine and on the server:

- Log into the ACT! database as an Admin user 

- Go to Tools/Preferences

- Under the General tab, uncheck the box for "Allow notes editing"

- Click Apply, then OK to save

- Log out of the database and then have the regular user log back

- If they go to Tools/Preferences, the option to allow notes editing will be grayed out

- If they open an existing note, they can only view it, not edit it

 

This will only be effective if the normal user has a Standard or below security role. Managers and Admins will be able to go into Preferences and change the setting.

This option is already in place.
