Assumptions:  Many companies use Limited Access to control which users see which records; many databases contain high record counts and many users;  many installations involve synchronization.

 

1st Scenario: Record Manager change:

Steps to reproduce:  Change the Record Manager on a record that has Limited Access

Expected Result: New Record Manager has access to the record, former Record Manager no longer has access

Actual Result: Both the old and the new Record Managers have access

Workaround:  One must manually remove that user from the Access List using the Contact List, thus generating one access table update and one history entry for EACH RECORD AFFECTED, so a 25,000 record database can suddenly generate 50,000+ changes for every sync user.  And, since there is no mass Limited Access function on the Company or Opportunity List, those changes have to be done manually.

 

2nd Scenario: Team Membership change:

Steps to reproduce: Remove a user from a team where the team has access to certain Limited Access records, and the user is NOT the Record Manager

Expected Result: Removed user no longer has access to those records

Actual Result: The user continues to have access to those records

Workaround:  One must manually remove that user from the Access List using the Contact List, thus generating one access table update and one history entry for EACH RECORD AFFECTED, so a 25,000 record database can suddenly generate 50,000+ changes for every sync user.  And, since there is no mass Limited Access function on the Company or Opportunity List, those changes have to be done manually.

 

To understand how ACT! teams should operate, please refer to WIndows Server Users & Groups:  adding a user to a certain group provides access to the group's resources, such as printers, folder, files, shares, etc.  Removing the user from a certain group removes access to the group's resouces and takes affect the next time they log in!!!

 

If you say this is working as designed, then you need to re-evaluate your design and bring it into alignment with current industry standards.
